Manage Your Notes with Themes and Tags
Update Date: 11/24/2025
As your content grows, you can organize it more efficiently with smart folders and tags, making it easier to create and find entries.
Smart Folders are a content management feature in ideaShell. By combining tags, similar content is grouped into the same smart folder, supporting both single-tag and multi-tag filtering.
Here are two example scenarios:
Single-Tag Smart Folder
For example, if you are working on a coffee project, you can tag related content with something like #coffee (just type #coffee directly in the text editor). Then create a smart folder named “Coffee.” AI will automatically generate an icon and select related tags you have used before. Next time, you just need to click this smart folder to see all content related to the “Coffee” project.
Multi-Tag Smart Folder
Additionally, a smart folder can include multiple tags. For instance, you might have a “Reading” smart folder with different category tags. For your “Reading” smart folder, you can select multiple tags such as #Psychology, #History, and #Literature. Any content containing any of these three tags will appear under this smart folder.

Usage Example
Because I need to prepare my work plan every morning, I want these entries to share a common tag and be displayed in a list for easy viewing. You can do this:
Create a priority tag named ‘Work’ under Priority Tags, then create a smart folder named ‘Work Plan.’ At this point, AI will automatically assign this priority tag to the smart folder. Then click Save.
Once set up, every morning I can create a new entry by recording or typing, for example: ‘My work plan for today is XXXX.’ AI will automatically add the ‘Work’ tag to this entry and categorize it into the ‘Work Plan’ smart folder.
This way, I can directly view all work plans with one click from the sidebar or desktop widget, and even generate to-dos.
